Job Descriptions:

Job Purpose:

An Administrative Officer manages daily office operations, ensures administrative procedures run efficiently, and supports staff through scheduling, record-keeping, and resource management. Key responsibilities include handling correspondence, maintaining inventory, managing budgets, and facilitating communication between departments.

Specific Responsibilities:

  • Office Management: Overseeing daily office operations, maintaining office equipment, and managing supplies stock.
  • Administrative Support: Drafting correspondence, scheduling meetings/appointments, taking minutes, and managing records.
  • Logistics & Travel: Arranging travel, accommodation, and logistics for staff or visitors.
  • Financial Assistance: Tracking expenses, processing invoices, and assisting with budget management.
  • Communication: Acting as the primary point of contact, answering inquiries, and liaising with suppliers or clients.
  • Procedures & Compliance: Implementing office policies, ensuring data protection, and updating filing systems.

Job Requirements:

Other skills required:

  • Proficiency: Strong command of Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
  • Communication: Excellent written and verbal communication skills.
  • Organization: Strong multitasking, time management, and organizational abilities.
  • Problem-Solving: Ability to resolve operational issues and work independently.
