Job Description

Job Purpose

The HR Clerk provides administrative and clerical support to the Human Resources Department. The role is responsible for maintaining employee records, supporting recruitment and onboarding processes, monitoring attendance and leave records, filing HR documents, and ensuring that HR information is accurate, organized, and confidential.

Key Responsibilities

1. Employee Records & Documentation

  • Maintain accurate and up-to-date personnel files (physical and electronic).
  • File employment contracts, amendments, evaluations, disciplinary records, and other HR documents.
  • Update employee information in the HR database.
  • Ensure confidentiality and security of employee records.

2. Recruitment Support

  • Assist in posting job vacancies and receiving applications.
  • Schedule interviews and communicate with candidates.
  • Prepare interview attendance sheets and recruitment documentation.
  • Support reference checks and recruitment filing.

3. Onboarding & Offboarding

  • Prepare employment contracts and onboarding documents.
  • Assist new employees with orientation and document collection.
  • Process employee clearance and exit documentation.
  • Ensure company assets and documents are returned during separation.

4. Attendance & Leave Administration

  • Collect and verify daily attendance records.
  • Maintain leave records, including annual, sick, and unpaid leave.
  • Follow up with departments regarding missing attendance records.
  • Prepare attendance reports for payroll processing.

5. HR Administration

  • Prepare employment letters, ID requests, and HR certificates.
  • Assist in maintaining organizational charts and staff lists.
  • Support performance appraisal documentation.
  • Respond to routine employee HR inquiries.

6. Reporting

  • Prepare monthly HR reports.
  • Update employee headcount reports.
  • Maintain recruitment, attendance, leave, and employee contract tracking reports.

7. Compliance

  • Ensure HR activities comply with organizational policies and labor laws.
  • Maintain confidentiality of all employee information.
  • Support HR audits and documentation reviews.

8. Other Duties

  • Perform other HR and administrative tasks assigned by the HR Manager.
  • Provide support during staff training, workshops, and organizational events.

Job Requirements

  •          Bachelor's degree in Human Resources, Business Administration, and Management.
  •          Fresh graduates are encouraged to apply.
  •          Previous experience in Human Resources or Administration is an advantage.
  • Good knowledge of HR administration and personnel filing.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and record-keeping skills.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and professionalism.
  • Good time management and attention to detail.
  • Fluency in English.
  • Fluency in Dari and/or Pashto.
