Job Description

The Storekeeper is responsible for the receipt, storage, issuance, and management of goods, materials, equipment, and supplies within the organization. The position ensures that all stock is properly recorded, stored safely, and distributed efficiently in accordance with organizational policies and procedures. The Storekeeper maintains accurate inventory records and supports effective warehouse and stock management to meet operational and program needs.

Duties and Responsibilities

  • Receive, inspect, and verify all incoming goods and ensure they match the relevant purchase orders, delivery notes, and specifications.
  • Store materials, supplies, and equipment in an organized, safe, and secure manner.
  • Issue stock items based on approved requests and maintain proper documentation for all stock movements.
  • Maintain accurate stock cards, bin cards, and store records for all inventory items.
  • Monitor stock levels and promptly report low-stock items to the supervisor for replenishment.
  • Conduct regular physical stock counts and participate in monthly, quarterly, and annual inventory audits.
  • Ensure proper labeling, coding, and arrangement of stock items for easy identification and retrieval.
  • Maintain cleanliness, safety, and orderliness within the store and warehouse areas.
  • Track expiry dates of consumable items and ensure proper stock rotation using the First-Expiry-First-Out (FEFO) or First-In-First-Out (FIFO) method.
  • Report damaged, expired, lost, or obsolete items and assist in the disposal process according to organizational procedures.
  • Prepare stock reports, inventory summaries, and other store-related documentation as required.
  • Coordinate with procurement, logistics, finance, and program teams regarding stock availability and distribution.
  • Ensure compliance with organizational policies, donor requirements, and warehouse management procedures.
  • Safeguard all goods and materials against loss, theft, damage, or misuse.
  • Maintain proper filing of Goods Received Notes (GRNs), Store Release Forms, Waybills, and other supporting documents.
  • Support asset management activities, including tagging, tracking, and verification of organizational assets when required.
  • Perform any other duties assigned by the Line Manager.

Job Requirements

  • Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • At least 2–3 years of experience in storekeeping, warehouse management, logistics, or inventory control.
  • Good knowledge of stock management and record-keeping procedures.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
  • Strong organizational, numerical, and communication skills.
  • Ability to work accurately, maintain records, and manage stock efficiently.
