Job Description
- Coordination & Communication
- Coordinate daily project operations and ensure effective communication among all parties.
- Meet with clients to gather feedback and concerns and relay them to management and field teams.
- Represent HPL in meetings, discussions, and official engagements as required.
- Project Monitoring & Implementation
- Monitor daily activities of project staff and ensure adherence to professional standards.
- Provide guidance and recommendations to improve staff performance and project outcomes.
- Ensure continuity of operations by arranging backup staff during absences.
- Report major issues, risks, or conflicts to management in a timely manner.
- Reporting & Documentation
- Prepare and submit daily, weekly and monthly reports as required by clients and management.
- Maintain accurate and updated project data and stakeholder records.
- Collect and verify timesheets and supporting documents for salaries, invoices, and payments.
- Administrative & Cross-Functional Coordination
- Coordinate tasks with HR, Finance, Logistics, IT, and Legal departments.
- Manage staff leave requests in coordination with HR and relevant supervisors.
- Ensure project staff compliance with organizational policies and procedures.
- Staff Welfare & Compliance
- Ensure all staff have valid ID cards and required PPE (uniforms, masks, shoes) and use them properly.
- Organize staff engagement activities such as recognition programs and celebrations in a professional manner.
- Training & Capacity Building
- Conduct training needs assessments for project staff.
Job Requirements
- Required Qualifications & Experience
- Education: Bachelor’s degree in business administration, Management, Social Sciences, or a related field; a Master’s degree is preferred.
- Experience: Minimum of (5) years of relevant experience in project coordination or management.
- Prior experience working with NGOs and international organization projects is an advantage.
- Required Skills & Competencies
- Strong communication and interpersonal skills.
- Excellent organizational and coordination abilities.
- Ability to work under pressure and manage multiple tasks effectively.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- Strong problem-solving and decision-making skills.
- Fluency in English; knowledge of local languages is an added advantage.
- Key Performance Indicators (KPIs)
- Timely and accurate submission of all required reports.
- Effective coordination with stakeholders and internal departments.
- Improvement in staff performance and adherence to compliance standards.
- High level of client satisfaction and efficient resolution of issues.
- Accuracy, completeness, and proper maintenance of project documentation.
