About DHSA/TKG:

Development and Humanitarian Services for Afghanistan (DHSA) established in 1992, the mission of DHSA is to redefine development in Afghanistan by promoting a dynamic and capable civil society as a means to foster local ownership of development, dignity and a peaceful & sustainable future for all Afghans.

Throughout the 1990’s, DHSA focused primarily on drawing strength from local knowledge and traditional relationships to fill gaps, caused by a weak national government and absence of public services. During this time, DHSA focused on activities such as water sanitation and irrigation, education, food assistance to drought affected populations, and rural rehabilitation, matching local know-how with the financial and political support from international aid agencies and donors such as EC, USAID, WFP, WHO, the UN, Canada fund/Care International and Novib.

The political changes brought by the Bonn Agreement in 2001 allowed DHSA to add development of civil society in Afghanistan – through its media, education and various community development projects – to its portfolio, in addition to humanitarian assistance.

To achieve its mission, DHSA presently operates five activities:

  • Public Media and Communication (TKG),
  • Education
  • Cultural Heritage
  • Environmental Protection

 

Job Descriptions:

Administrative Assistant

Overall, Purpose: Support the project team by ensuring efficient administrative, logistical, and documentation processes. The Administrative Assistant maintains organized office operations, supports field activities, ensures proper filing and record-keeping, and assists with procurement, communication, and coordination to enable smooth implementation of all project activities.

Key Duties and Responsibilities

Administrative & Office Management

  • Maintain well-organized filing systems (both physical and digital) for project documentation, correspondence, reports, and beneficiary records.
  • Prepare official letters, meeting minutes, memos, agendas, and other administrative documents.
  • Manage reception duties including answering calls, receiving visitors, and maintaining office protocols.
  • Ensure office equipment and supplies are maintained and replenished regularly.

 

Logistical Support

  • Support logistics arrangements for trainings, workshops, beneficiary registration days, community dialogues, and field missions.
  • Coordinate travel arrangements, vehicle scheduling, accommodation bookings, and meeting preparations.
  • Assist in booking venues and preparing materials for events and project field activities.

 

Procurement & Finance Support

  • Assist in preparing purchase requests, collecting quotations, and processing procurement documentation.
  • Maintain organized records of invoices, delivery notes, receipts, and financial support documents.
  • Support the Finance & Logistics Officer in tracking expenditures and ensuring audit-ready documentation.

 

Program Support

  • Assist the field team by preparing forms, attendance sheets, registration templates, and documentation bundles.
  • Support sorting, scanning, copying, and organizing beneficiary lists and verification data.
  • Participate in field events when needed, including registration, distribution, or awareness activities.

 

Communication & Coordination

  • Coordinate internal and external meetings, draft meeting minutes, and track action points for follow-up.
  • Maintain communication with community mobilizers, field officers, local authorities, and partners when required.
  • Support dissemination of information materials, notices, and schedules to staff and stakeholders.

Compliance & Confidentiality

  • Ensure confidentiality and secure handling of all sensitive information, particularly beneficiary data.
  • Support grievance handling by documenting complaints and forwarding them to the responsible staff.
  • Ensure all administrative procedures adhere to DHSA policies, donor requirements, and PSEA standards.

Job Requirements:

 

Qualifications Required:

 

  1. The employee for this position must have at least Baccalaureate degree.
  2. Relevant or similar experience in working as office assistant, admin assistant, secretary and or receptionist (2 – 3 years).
  3. Good command of written and spoken English, Pashto and Dari.
  4. Excellent interpersonal skills, ability to communicate with staff in a professional way.
  5. Computer Skills (Word, Excel & Internet)
