Job Descriptions:

The Pharmacy Stock Keeper is responsible for the accurate management, storage, and tracking of all pharmaceutical supplies within the project pharmacy unit. Key duties include receiving and inspecting incoming medicines, maintaining up-to-date stock and bin cards, monitoring expiries, conducting routine stock counts, and ensuring adherence to MoPH and MHCO storage standards. The role supports safe disposal of expired or damaged items, assists in consumption reporting, coordinates with pharmacists and health staff, and helps plan medicine orders to ensure uninterrupted supply. The Pharmacy Stock Keeper upholds confidentiality, follows ethical and safeguarding standards, and contributes to accurate reporting and compliance with organizational and donor requirements.

Duties & Responsibilities:

  • Receive, inspect, and record incoming medicine and supply deliveries.
  • Maintain up-to-date stock cards, bin cards, and inventory records.
  • Monitor stock levels and report shortages or expiries promptly to the pharmacist or facility in-charge.
  • Conduct routine physical counts and reconcile discrepancies.
  • Ensure proper labeling, categorization, and organization of pharmacy stocks.
  • Follow FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) principles
  • Ensure medicines and supplies are stored in accordance with MoPH and MHCO standards (temperature, humidity, hygiene, and security).
  • Regularly check expiration dates and remove expired or damaged items safely.
  • Maintain cleanliness and order in the pharmacy storage area.
  • Support safe disposal of expired, damaged, or unusable items.
  • Maintain accurate daily, weekly, and monthly stock records.
  • Support preparation of consumption and inventory reports for health facility management and donor reporting.
  • Document stock movements, including receipts, issues, returns, and transfers.
  • Assist in audits and inspections by providing complete and accurate stock documentation.
  • Coordinate with pharmacists, health staff, and logistics teams to ensure uninterrupted supply.
  • Communicate any stock-related issues promptly to supervisors.
  • Assist in planning medicine orders based on consumption patterns and health facility needs.
  • Follow MHCO’s Safeguarding, Child Protection, and PSEA policies.
  • Maintain confidentiality regarding stock, patient, and facility information.
  • Adhere to MHCO Code of Conduct and ethical standards in all pharmacy-related activities.

Job Requirements:

  • Bachelor degree or equivalent; diploma in pharmacy or health logistics is preferred.
  • Minimum 3–4 years of experience in pharmacy stock management or medical supply handling.
  • Experience in BPHS health facilities or NGO programs is an advantage.
  • Familiarity with inventory management systems or software is an asset.
  • Strong organizational, communication, and interpersonal skills.
  • Attention to detail and accuracy in documentation.
  • Ability to multitask and work under pressure.
  • Basic knowledge of Microsoft Office (Word, Excel, Outlook).
  • Integrity and professionalism in procurement activities.
  • Fluent in local language (Pashto/Dari) English is advantage
