Job Description

Financial Management & Accounting:

  1. Process payment vouchers and ensure proper supporting documentation.
  2. Record financial transactions accurately in the Financial Management System.
  3. Maintain cashbooks and ensure daily cash reconciliation.
  4. Prepare monthly bank reconciliations.
  5. Maintain proper filing of financial documents (hard and soft copy).
  6. Ensure correct budget coding of expenditures.
  7. Facilitate and support audit process (if required).
  8. Support month-end closing processes
  9. Support preparation of monthly Budget vs. Actual (BVA) reports.
  10. Monitor project expenditure against approved budgets.
  11. Assist in variance analysis and highlight potential overspending.
  12. Manage office petty cash and ensure compliance with cash limits.
  13. Prepare cash requests and cash forecasts.
  14. Keep good coordination with local bank and Saraf.
  15. Ensure secure handling of cash and banking transactions.
  16. Supervise and monitor cash distribution in districts
  17. Conduct daily cash count and report deviations to HO immediately
  18. Support payroll preparation and ensure accurate documentation.
  19. Ensure staff advances are recorded and cleared in a timely manner.
  20. Process travel advances and settlements.
  21. Ensure compliance with tax and statutory deductions
  22. Ensure adherence to Afghanaid financial and administrative policies.
  23. Maintain segregation of duties in financial processes.
  24. Support internal and external audit processes.
  25. Immediately report any suspected fraud or irregularities.
  26. Responsible for appropriate HR, administration, ICT, and security processes and documentation
  27. Liaise with relevant stakeholders and participate in relevant internal and external meetings.
  28. Pay regular visits to relevant districts as required.
  29. Perform any other task assigned by the line manager.

Administrative & Office Management

  1. Maintain office administrative systems and records.
  2. Support procurement documentation and coordination with procurement team.
  3. Manage office supplies and inventory records.
  4. Support logistical arrangements for meetings, workshops, and field visits.
  5. Ensure proper documentation of contracts and service agreements.
  6. Supervise local administration/HR and procurements tasks
  7. Ensure compliance of field expenditures with donor and organizational policies.
  8. Maintain excellent relation with local authorities

Job Requirements

Work Experience

More than 3-4 years of relevant experience, preferably in an NGO environment.
