Job Descriptions:

Job Purpose:

The IT Inventory Officer manages, tracks, and secures an organization’s IT hardware and software assets. They maintain accurate, up-to-date records, conduct audits, manage asset procurement and disposal, and ensure compliance with licensing agreements to optimize stock levels and minimize costs. 

Specific Responsibilities:

  • Asset Management & Tracking: Maintain comprehensive, accurate databases of all IT assets (computers, servers, peripherals, software licenses), including tracking, labeling, and recording asset locations, status, and users.
  • Inventory Control & Auditing: Conduct regular physical counts and audits to reconcile with electronic records, identifying and resolving discrepancies.
  • Procurement & Disposal Support: Coordinate with IT procurement to receive new equipment and manage the secure disposal or retirement of obsolete hardware.
  • Software Licensing Compliance: Ensure all installed software is licensed and track renewals to avoid compliance issues.
  • Reporting: Generate detailed, periodic reports for management regarding stock levels, asset lifecycle, and inventory trends.
  • System Maintenance: Ensure hardware is properly functional, including managing maintenance, repairs, and backup systems. 

Job Requirements:

Qualifications:

  • Bachelor's degree in supply chain or a relevant field
  • 3-5 years of previous experience in warehousing, logistics, or inventory management is often preferred.

Other skills required:

  • Technical Skills: Proficiency in IT asset management software, database systems, and Microsoft Office/Excel.
  • Organization: Strong organizational and multitasking skills to manage multiple projects and detailed, accurate documentation.
  • Analytical Skills: Ability to analyze inventory data, predict shortages, and optimize stock turnover.
