Job Description

Admin & Finance assistant will work in the field of accounting and administration and coordinate with the main office on a daily basis including purchases, payments, recording, reconciliation, and reporting for his responsibilities.

Duties & Responsibilities:

Specific responsibilities and duties include but are not limited to the following:
1. Make purchases of daily consumables for office and factory base on needs and necessities.
2. Check bills and documents for purchase of office and factory expenditures and make proper recording in Excel sheets.
3. To keep attendance of labors and staff in the field and make the payroll calculation accordingly.
4. Receive and check bills & invoices from vendors and make proper recording in Excel sheets.
5. Verify all vendors invoices accuracy and quantity received, make payments and perform reconciliations when needed.
6. Keep track and record of inventory comes in, goes out, wastages and remaining balances in MS. Excel.
7. Coordinate with main office and Saraafi for receipt and disbursement of Hawala and banks and make payments to contractors and vendors on timely manner.
8. Coordinate and report with main office for administrative and financial duties on daily basis.
9. Keep record of daily payments and maintain relevant documents for archive and reconciliations with contractors and main office.
10. Daily report of Cash Receipts, Payments and Cash balance and report to main office accordingly.
11. Keep tract of advances paid to vendors and contractors and adjust on timely manner.
12. Draft official documents and contracts and keep proper records of the official documents.
13. Communicate and visit sectorial offices including custom and tax departments for smooth operations.
14. Any other activities and duties as assigned and asked by main office and management.

Job Requirements

• Diploma and/or Bachelor in Accounting, Business Administration, Economics or other relevant field
• Familiarity with accounting principles and procedures
• Knowledge and understanding of Financial system such as QuickBooks etc.
• Must be able to use MS. Office (specifically MS. Word & Excel) appropriately and effectively.
• Familiarity with official communications including Email and Whats App for Business
• Good supervisory and experience of managing field works including labor and machinery.
• Prior experience in the field of mining and Import/Export would be given preference.
