Job Descriptions:

Under the overall supervision of the Senior Programmes Coordinator and direct supervision of the Programme Coordinator (Protection) and in close coordination with the team in Resources Management, the successful candidate will be responsible and accountable for supporting the Protection programme administrative functions.

 

Core Functions / Responsibilities:

  • Participate in the Protection Programme support for meetings, trainings, seminars, committees, and special projects and events; attend meetings, notably weekly team meetings, prepare minutes, monitor follow-up activities.
  •  
  • Perform a variety of administrative duties, e.g. contract extensions and requests for temporary staff, leave and attendance recording, budget preparation and follow-up; support the coordination with Protection Officers, Senior Project Associates and other units to ensure smooth running and expedition of work.
  •  
  • Assist the Programme management with Human Resources tasks such as tracking contracts, leaves, and budget related needs to support all Protection staff.
  •  
  • Work in collaboration with Protection unit managers to create and keep up to date induction package for newly recruiting staff.
  •  
  • Monitor and process administrative actions (human resources, contracts, procurement, accounting, finance, logistics) in IOM's computerized systems.
  •  
  • Day to day organization of the financial, procurement, logistics and administrative aspects of protection projects, working closely with IOM’s Resource Management Unit (including finance and procurement).
  •  
  • Keep track of the projects expenses and procurement in IOM’s system and ensure all project records, financial and procurement records are updated and filed.
  •  
  • Support the Senior Programme Associate - Admin and Finance to prepare financial reports. 
  •  
  • Prepare and deliver training to IOM staff and partners (in coordination with the Resource Management Unit) concerning financial, administrative, and procurement procedures.

  • Perform other duties as required.

Job Requirements:

Education

Bachelor’s degree in Business Administration, Management or a related field from an accredited academic institution with three years of relevant professional experience

or

College diploma in the above field of studies with five years of relevant professional experience.

 

Experience

  • Experience in handling administrative and clerical tasks, scheduling, and organizing office activities.
  • Experience in financial record-keeping or bookkeeping, knowledge of basic accounting principles, budget tracking and finance reporting.
  • Experience in handling complex administrative functions.
  • Experience in coordinating the logistical arrangement of training and travel management.
  • Discreet, details and clients-oriented, patient and willingness to learn new things.
  • Prior work experience with UN (United Nations) Agencies in a multi-cultural setting, international non-governmental organizations in a multi-cultural setting, national non-governmental organizations in a multi-cultural setting or government institutions/organization in a multi-cultural setting is an advantage.

 

SKILLS

  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
  • Attention to detail, ability to organize paperwork in a methodical way.
  • Demonstrated awareness of humanitarian protection principles and assistance.
  • Proven ability to collaborate with a multi-cultural team.
  • Proven organizational and prioritization capacities.
  • Proven knowledge of cash-based interventions in a humanitarian context.
  • Demonstrated knowledge of financial and procurement regulations, as well as relevant donor regulations (advantage).

 

Languages

  • For all applicants, fluency in English is required (oral and written).
  • Working knowledge of Pashto or Dari is required.
  • Fluency in all national language(s) are highly advantages.
