Job Descriptions:

Small Purchasing:

  1. Handle small-scale purchases of office supplies, equipment, and services.
  2. Obtain quotes, prepare purchase orders, and ensure timely delivery of goods.
  3. Maintain accurate records of small purchases, including invoices and receipts.

Office Vehicle Management:

  1. Oversee the organization's office vehicle fleet, ensuring proper maintenance and functionality.
  2. Coordinate vehicle schedules and logistics to meet organizational requirements.
  3. Monitor fuel consumption and coordinate refueling needs.
  4. Maintain updated vehicle registration and armored licenses.

    Facility Management:

  1. Supervise day-to-day facility operations, including cleanliness and maintenance.
  2. Liaise with external service providers for facility-related services (repairs, etc.).
  3. Assist in space planning and allocation based on organizational needs.
  4. Ensure compliance with health and safety regulations within the facility.

Administrative Tasks

  1. Maintain organized and up-to-date records for small purchasing, vehicle management, and facility-related activities.
  2. Prepare regular reports on small purchases, vehicle usage, and facility management.
  3. Provide inputs for budgeting and forecasting related to the assigned responsibilities.
  4. Any other tasks of a similar nature as requested by the Supervisor.
  5. Assist liaison specialist with support when needed.

Job Requirements:

  • Bachelor’s degree in economics, business, sciences and other relevant field
  • At least 3 years of experience working on donor-funded programs in coordination with the private sector, preferably donor-funded programs that carried out international events.
  • Previous experience in logistics, facility and coordination.
  • Ability to manage a large and complex workload with limited supervision and effectively delegate responsibilities to colleagues.
  • Motivation, flexibility, capacity to work under pressure and short deadlines, and a strong sense of personal initiative.
  • Excellent interpersonal and communication skills, including presentation skills in local and English languages.
  • Attention to detail; ability to review contractual documentation and prepare well-formatted and professionally looking documents.
