Job Description

The Senior Administrative Operations Officer is a senior-level position responsible for overseeing and coordinating the administrative and operational functions of the organization. This role requires a strategic thinker with excellent organizational, communication, and leadership skills. The individual in this position will work closely with other departments to ensure efficient and effective day-to-day operations. Responsibilities:

  • Create and implement best practice logistics principles, policies, and Processes across the organization to improve operational and financial performance
  • Plan meetings and conference calls and arrange and manage meetings.
  • Take and distribute meeting minutes.
  • Maintain electronic and physical files.
  • Maintain weekly schedules of employees.
  • Organize and provide documents, reports, and information.
  • Coordinate workspace, computer, and supplies for new employees with the IT department.
  • Maintain and reorder office supplies.
  • Sort and distribute mail.
  • Resolve administrative problems by coordinating the preparation of reports, analyzing data, and finding solutions.
  • Respond to emails on behalf of the Admin Manager.
  • Act as a liaison with other departments and outside agencies, including other staff such as the Program Director and Managing Director, when directed.
  • Meeting coordination with stakeholders.
  • Organizing meetings at the organizational level.
  • Managing Admin and operation of the organization at the field level.
  • Managing internal meetings regularly.
  • Communicating and organizing need-based meetings with the government authorities.

Job Requirements

  • Master’s/Bachelor's degree in business administration, management, or a related field.
  • Proven experience in administration and operations management.
  • Strong leadership and interpersonal skills.
  • Excellent organizational and problem-solving abilities.
  • Effective communication and negotiation skills.
  • Knowledge of relevant laws, regulations, and industry best practices.
  • Proficiency in office software and project management tools.
