Context:

Under the overall supervision of the Programme Coordinator (ESNFI) and direct supervision of the Senior Programme Associate (DRR); and, in collaboration with relevant Units in Afghanistan Country Office, the successful candidate will be responsible and accountable for the following duties and responsibilities.

Job Descriptions:

  1. Assist program in processing Purchase Request Forms (PRF), Stock Release Forms (SRF), payment vouchers, construction project skilled and unskilled labor timesheets, ensuring all are tracked/followed up with relevant unit and appropriately filled.

 

  1. Support the administrative coordination of monthly PRF submission for transportation, construction project materials, labor wage payment and other regular sub office costs ensuring timely submission to logistics/finance unit.

 

  1. Maintain financial documents/files and record/maintain updated filling system easily accessible.

 

  1. Assist in making travel arrangements of staff for field visit, processing Travel Request, and booking venues for meetings, conferences, and events.

 

  1. Prepare and follow up on all administrative forms (Timesheets, Leave Requests, Travel Request, Road Mission Requests, Procurement Requests, and other forms) related to ESNFI/DRR project.

 

  1. Provide clerical assistance in the recruitment process of staff and consultants. Liaise with IOM HR unit to follow up on contracts issuance or extensions, as well as maintenance of various personnel records and files are up to date, receives and send pouch for ESNFI programme and sub offices.

 

  1. Provide clerical administrative and finance support to programmatic events, monitor budget and expenses and update budget related information.

 

  1. Assists ESNFI Programme with random data collection in term of supply/procurement specific services or goods on needs basis.

 

  1. Maintain regular contact with sub offices and communicate administration and financial issues to program.

 

  1. Provides administrative and logistics support to programmatic events.

 

  1. Provide informal translation of short documents and notes.

 

  1. Any other related task that may be assigned by the supervisor.

Education

  • Bachelor’s degree in business administration, International Studies or related field (Essential) with one year of relevant professional experience,
  •  or
  • High School diploma with three years of relevant professional experience

 

Experience

  • Experience in administrative functions such as documents (financial and administrative) management and processing, filing, scheduling meetings/appointments, and communication.
  • Experience working with UN agency, NGO or international organization in the related areas.
  • Willingness to travel frequently to different communities within the program area.

 

SKILLS

  • Accuracy.
  • Detail oriented. 
  • Excellent communication skills, both verbal and written, as well as strong interpersonal and facilitation skills.
  • The ability to work effectively with diverse groups of people and build partnerships is also essential.
  • Proficiency in Microsoft Office and other relevant software programs

 

Languages

  • For all applicants, fluency in English is required (oral and written).
  • Fluency in the local languages (Dari and Pashto) is required.
