Job Description
To manage and coordinate administrative and financial activities of the organization, ensure proper financial record keeping, budget monitoring, procurement and administrative support, and ensure that all activities are carried out in accordance with applicable laws, regulations, policies and organizational procedures.
Key Responsibilities
1. Financial Management
Prepare and maintain financial records, vouchers, monitoring of taxes in accordance with applicable tax laws and regulations of ministry of finance. invoices and supporting documents.
Monitor income, expenditures, cash flow and budget utilization.
Prepare monthly, quarterly and annual financial reports.
Ensure that payments and expenditures are properly authorized and supported by required documents.
Maintain cashbooks, ledgers and financial files.
Assist in budget preparation, monitoring and financial forecasting.
Reconcile bank statements and cash balances.
Ensure compliance with financial policies, procedures and applicable government requirements.
2. Administrative Management
Manage day-to-day administrative activities of the office.
Maintain incoming and outgoing correspondence and official documents.
Establish and maintain proper filing and record-keeping systems.
Prepare official letters, reports, memos, requests and other administrative documents.
Manage office supplies, equipment and inventory.
Support staff attendance, leave records and other personnel-related administrative matters.
Coordinate meetings, workshops and official activities.
3. Procurement and Logistics
Assist in procurement of goods and services in accordance with approved procedures.
Obtain quotations and prepare comparative statements where required.
Maintain procurement documents, contracts and supplier records.
Monitor office assets, equipment and inventory.
4. Reporting and Compliance
Prepare regular administrative and financial reports for management.
Ensure proper documentation and filing of financial and administrative records.
Support internal and external audits by providing required documents and information.
Identify administrative or financial problems and recommend appropriate solutions.
5. Coordination
Coordinate with management, project departments, suppliers, banks and relevant government authorities.
Maintain effective communication with concerned departments and stakeholders.
Perform other duties assigned by the authorized supervisor in accordance with applicable laws, regulations and organizational objectives.
Job Requirements
Minimum Qualifications
Bachelor's degree in Finance, Accounting, Economics,
Business Administration, Public Administration, Financial Management, or
related field.
At least 5–8 years of relevant work experience, depending on
the grade/position.
Good knowledge of financial and administrative procedures.
Good computer skills, particularly MS Word, Excel and
financial/accounting software.
Good command of Dari or Pashto knowledge of English is an
advantage
