The employee will serve as Cleaning Supervisor, with primary responsibility for managing and supervising a team of ancillary staff based in Kabul.
All responsibilities will be carried out in accordance with the agreed-upon job description as below:
• Ensure that the cleaners and gardeners are properly and appropriately always dressed.
• Develop checklists for each area and closely monitor the checklist to ensure the implementation.
• Supervises the cleaners and identifies weaknesses and plans their development.
• Represent the contract in technical evaluation of the cleaning material and supplies for the office.
• Monitor the daily cleaning activities to ensure all the offices, fixtures, walls, floors, furniture and other assigned areas to the cleaners are always clean and hygienic.
• Assign cleaners to different buildings and areas and create a working schedule for each area.
• Develop a back-up system for the cleaners ensure no gap is created in cases when a cleaner cannot report to work due to any reason.
• Advise the client in cases when a cleaner is absent for an extended period.
• Oversee the cleaners’ activities and inform the client in cases of any suspicious behaviour that could pose them and its personnel at risk.
• Monitor the cleaners’ annual leave, sick leave and other leaves and ensure that the leaves are not overused.
• Ensures that cleaners are trained in groups or individually on any issues or lacks knowledge they might show during the week.
• Collect monthly client informal feedback about the cleaning services and plans to improve on the weak spots.
• Conducts periodic performance reviews for the cleaners and plan to capacity build them in cases weaknesses are identified.
• Monitor the daily gardening activities to ensure all the gardens, trees, flower house, flowers inside the office and others are always fresh.
• Ensure that all garden equipment is properly maintained and serviced. Request new equipment and tools including fertilizer and plant foods as required for timely replenishment by the client.
• Ensure that all schedules for regular and non-regular activities and assignments are agreed upon with the respective client in advance and adhered to by all Contractor’s employees.
• Train and supervise all staff and ensure services are undertaken in and efficient and effective manner as per their tasks.
• Ensure fair and adequate distribution of tasks among Contractor’s employees in accordance with approved schedules.
• Ensure that all Contractor’s employees adhere to the Code of Conduct and security requirements of the respective site.
• Ensure the Health and Safety plan for the respective site is up-to-date and implemented continuously.
• Ensure QA/QC plan for the respective site is up-to-date and implemented continuously.
• Ensure sufficient level of stocks of materials and tools is always available at site for uninterrupted provision of services and notify the client for the timely replenishment when required.
• Maintain record of distribution and usage of administration supplies for client.
• Maintain staff attendance records and monitor their schedules and leaves.
• Perform any other duties that may be necessary for the proper execution of services.
