About Union Aid:

Union Aid (UA) was established by a group of Afghan philanthropists and social activists in July 1979 in Peshawar, Pakistan. Union Aid was serving Afghan Refugees and host communities living in/around refugee camps through various projects in three main sectors; health, education and skill development. UA has been providing basic health services through hospitals, Basic Health Units (BHUs), labor rooms, provision of prosthetic limbs and first aid trainings. UA facilitated Afghan Refugees in education sector through providing formal basic and higher education, skill development programs for men and women, literacy centers and scholarships.

Union Aid is actively providing regular support in humanitarian & development sectors such as, Healthcare, Nutrition, Education, Scholarships, Technical Vocational Education Trainings, Family Support Programs, Emergency Response and Support, Livelihoods, Food Security, Shelter, Construction/Rehabilitation of community level infrastructures, Environmental Protection, and WASH.

Job Descriptions:

The Admin/Logistics Assistant plays a crucial role in ensuring efficient administrative and logistical support within the organization. They are responsible for a variety of tasks related to procurement, records maintenance, meeting support, travel arrangements, and vehicle management. This position is essential for the smooth operation of daily activities.

Key Responsibilities:

Logistics Support:

  • Assist in the delivery of procured items to the implementation sites.
  • Maintain comprehensive records of all logistical stocks.
  • Ensure the proper organization and security of the storage area/stock.
  • Provide logistical support to site offices.

Administrative Tasks:

  • Take meeting minutes, organize, and distribute minutes as required.
  • Assist staff in arranging official travels and missions.
  • Draft official emails and correspondence, as well as perform other administrative tasks asassigned by the admin manager.
  • Keep track of the transport log-book for office vehicles in both Kabul and the sites, and follow up with drivers on transport-related issues.

Oversee the maintenance of vehicles.

  • Ensure an orderly transport system and schedule for the office.
  • Inform the Admin/Logistics Manager of any major problems with the vehicles to ensure speedy resolution.
  • Ensure the proper maintenance of the filing system.
  • Handle materials in a business-sensitive and confidential manner.

Record-Keeping and Reporting:

  • Prepare inventory lists.
  • Maintain the meeting and project activity calendar.
  • Maintain the Generator Logbook and services record.

Ad Hoc Tasks:

  • Perform any other official duties as required.

Job Requirements:

• BBA in Administration, 

• Two years practical working experience in administration and logistics with local NGOs or International NGOs,                                                    • Good written and fluent verbal communication skills in Pashto, Dari and English,                               

• Proficient in Microsoft Office program.
