Job Description

Job Summary

The HR Assistant is responsible for efficiently managing HR operations and providing administrative and operational support to the HR Department in implementing HR policies, maintaining accurate records, and facilitating seamless HR services for staff. The HR Assistant based in the provincial office; he/she will work under the direct supervision of the Sr. HR Officer of the central office.

 

Roles and responsibilities:

  • The role contributes to maintaining transparent HR processes aligned with organizational policies and donor requirements.
  • Oversee the daily HR functions, ensuring smooth and efficient operations in the provincial office.
  • Maintain up-to-date employee files and HR databases.
  • Support audit preparation by organizing HR records and compliance evidence.
  • Facilitate onboarding and orientation of new staff.
  • Assist in handling staff queries regarding HR policies and procedures.
  • Assist in organizing training sessions, workshops, and invitations.
  • Maintain training records and participation lists.
  • Draft HR notices, memos, and correspondence as directed by the Sr. HR Officer.
  • Support payroll preparation by providing accurate staff data.
  • Ensure confidentiality and ethical handling of HR information.
  • Collect and verify monthly timesheets and ensure accurate data entry (e.g., absences and leaves).
  • Submit completed recruitment packages to the Head Office HR team for contract issuance.
  • Ensure all staff have valid contracts and up-to-date job descriptions.
  • Maintain the HR filing system, ensuring confidentiality and accuracy of employee records.
  • Ensuring that all the staff personnel files are up-to-date in terms of contracts, timesheets, application forms, and diplomas, and all related documents.
  • Assist in the evaluation of all staff in different projects and their follow-up.
  • Checking and following up on the attendance sheet or timesheets regularly.
  • Ensuring that the staff respects WDIO. Internal staff regulation, to apply the staff regulation, and to answer all questions coming from the staff about our internal rules.
  • Assist in the recruitment of teachers/facilitators for the project.
  • Conduct reference/security checks of newly joined team members.
  • Any other task assigned by the supervisor.

 

Job Requirements

  • Bachelor's degree in business administration, HRM, management, educational management & leadership, and any other related field.
  • At least 2 years of proven experience in the field.
  • Good communication skills,
  • Fluent in English, Pashto, and Dari with excellent speaking and writing skills,
  • Proficient computing skills – word processing, spreadsheet design, and presentations.
  • Efficiency, result-oriented, and excellent management capabilities,
  • Ability in problem-solving and conflict resolution,
  • Capacity to perform effectively under pressure and harsh conditions; ability to handle confidential and politically sensitive issues responsibly and maturely,
  • Excellent capacity development and teamwork skills.
  • Ability to travel to the districts of the relevant province.
  • Respect and maintain the confidentiality of the organization.
  • Ability to use information technology effectively.
