Job Descriptions:

The Warehouse and Procurement Officer is responsible for the effective operation of the warehouse and procurement functions, ensuring efficient stock and inventory management, as well as the procurement of goods and services, ensuring the best value while meeting quality and delivery requirements. This role reports to the Procurement & Warehouse Manager. And will be recruited for the Local Health System Sustainability project supported by USAID

Warehouse Responsibilities 

Oversee all day-to-day operation of the ASMO central warehouse facility
Will be responsible for record-keeping for inward and outward inventories (products) to ensure inventory flows (in and out) are taking place with the established procedure (LIFO, FIFO, etc.t)
Check routinely the warehouse facilities to keep the equipment, tools, and instruments operational.
Post in the QB (QuickBooks) the inventory transactions daily, ensuring accuracy and completeness of postings by frequently performing reconciliation procedures.
Routinely perform suppliers and inventory reconciliations to ensure inventories (products) positions (balances) match with documentation and generate supplier’s statements to show amounts paid and remaining balance.
Prepares inventory records every month, bin cards, stock tracking sheets renovation, and updates.
Ensure all warehouse operations comply with relevant quality standards and regulations.
Manages the inventory at the central warehouse and ensures that it meets appropriate standards related to climate/environment control,
Physical structure, security, stock rotation, quarantine of expired or damaged products/materials area, and disposal.
Producing multipurpose reports of stock
Maintains inventory by conducting monthly physical counts; reconciling variances; inputting data.

Procurement Responsibilities:

Develop and maintain relationships with suppliers, negotiate contracts, and ensure timely delivery of goods
Ensure all procurement activities comply with organization policies, regulations, and ethical standards.
Conduct market research to stay informed about market conditions, new products, and potential suppliers.
Maintain accurate records of all procurement activities, including purchase orders, contracts, and supplier evaluations and Post in the QB
(QuickBooks) the PO (purchase orders) for all applicable purchases.
Responsible to get purchase requisitions orders generated, getting them appropriately signed and approved by signatories, and properly documented.
Follow under the direction of the line manager and collaborate with finance on the compliance requirements related to procurement.
Collaborate with other departments to understand their procurement needs and requirements.
Provide regular reports on warehouse and procurement activities to the Procurement & Warehouse Manager.
Performs other duties and responsibilities assigned by the line manager
 

 

Job Requirements:

Education & Qualifications: Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
Industry experience: Minimum of 5 years of experience in warehouse management, procurement, or supply chain operations. Experience in managing a team and overseeing daily operations in a warehouse environment.

Knowledge & Skills:

Technical: Strong negotiation skills with vendors and suppliers for providing goods and services as per ASMO needs and interests  
Management skills: Good interpersonal skills, including the ability to maintain a good relationship with staff in other departments and with managers
Personal qualities: Be able to work in a multi-cultural settings
