Job Descriptions:

Is responsible for the implementation of Human Resources policies and procedures, and the correct administrative management of staffs according to HR Manager’s indications and INTERSOS procedures, in order to ensure legal compliance to national laws. Contributes to ensure that INTERSOS acts as a responsible employer.

Provide support to HR Coordinator for implementation and follow-up of the International Staffs administrative aspects (VISA, Work Permit, etc.).

 

Tasks

HR policies, procedures and reporting

  • Is responsible to guarantee that all contracts i.e. employment, service, secondment and consultancies respect INTERSOS policies, national laws and donor requirements
  • Ensure data into the DB in IMP are correct and personal files and keep them up to date in order to facilitate HR processes management.
  • Is responsible to collect all personnel documents and archive all of them properly
  • Provide support in case of Audit, under the supervision of HR Manager

 

Administration

  • Provide advisory support to the SMT and line managers on all HR and administrative aspects
  • Provide support in the design of Compensation and Benefits Policy for National Staffs, conducting a regular benchmark with other INGOs and actors in the country
  • Is responsible to manage the entire payroll process ensuring punctuality and accuracy. Ensure regular and punctual circulation and collection of pay-slip in all the field bases
  • Liaise with the Finance department for any issue related to payroll and is available for any questions
  • Draw up the final pay slip and employment certificate at the end of a contract in order to meet legal requirements while defending INTERSOS ’s interests and based on Internal Regulation from staffs regarding the salaries
  • Liaise with the law firm/lawyer and with national and local authorities for HR and administrative matters (ex. taxation, social security, pension contribution, health insurance, etc.)
  • Ensure a correct management of the absences through updated leave tracker and proper archive of requests, and provide support to the staffs and line managers
  • Visit field bases if requested

 

Management of International Staffs

  • In collaboration with the Liaison team and HR Coordinator provide support to International Staffs for the issue of VISA, work and residence permits ensuring the respect national law

 

Job Requirements:

Education

  • Essential degree in Psychology, International Relations, Political Science, Economics, Public Administration. Master in HR Management desirable

Professional experience

  • Minimum 2 years’ experience in HR Management in humanitarian contexts with NGOs

  • Essential computer literacy (word, excel and internet)
